Client Status Updates With Attachments



Casetracker123 can give clients access to their claims, monitoring the process and interacting with the agency or law firm.  Clients have the ability to view status updates, attached documents and when payments are entered to their accounts on a daily basis.  Giving access to the system is an administration option.  Some firms choose not to give access for security reasons.  Not giving access, causes the firm to have to communicate manually with the client via email.
How many times a day do you have to give a status update regarding a claim to a client?  How many times are you required to send along some documentation; a contract, an invoice or two, statements of account, etc.?  A time-consuming process if you have multiple documents that you need to send to multiple clients? 
With the help of Stephen Gebeloff of Gebeloff Law in Boca Raton, FL, a new function was created to help with this time-consuming problem.  He needed a way to simultaneously status update his clients with the ability to attach multiple documents.
If there are documents attached to the claim, the question, “Would you like to add attachments? Yes or No” will appear in the Status update dialog box; if there are no attachments, this question does not appear.  Select Yes when entering the criteria and click Update.  The next screen displays all the documents that are attached, make a selection and click Send.  The client receives the update along with the documents in an email.

Happy Holidays From CasetrackerLaw

We want to wish everyone a happy holiday season and safe new year.

During the rest of the year everyone is busy with work and family but during the holiday season when the work load slows a little, the chief here at Casetrackerlaw likes to get out and visit with a few local clients. He usually travels north to the Carolina's to visit with family however the grand kids are coming here this year. It’s a little more chili than we’re used to but still an absolutely beautiful time of year.

He just visited with the Law Office of Yates & Schiller in Boca Raton located in sunny South Florida. He was raving about how beautiful her new office is and that Ms. Yates had a major hand in designing it herself. We plan an upcoming interview with Julie sometime in early January and we may give you a little tour of her new office. Ms. Yates is one of the reasons CasetrackerLaw evolved and she played a key role in its creation and development.

A large part of her success is contributed to the use of the CasetrackerLaw web based collection system.

Reports

It's gotten cold in South Florida again and South Floridians are ready for the warm weather they moved here for. Are you living in a state that is seeing its 6th major snow storm of the season? Is it a hassle getting to work? What if you could have your employees work from home? If they did work from home, how would you monitor what they are doing?

CasetrackerLaw web based collection software is the answer to this little problem. CasetrackerLaw allows collectors and administrators to log into the system from home and work remotely. Administrators, you are able to monitor every movement your employees make. You have the option to run a collector report at the end of the day to see the progress that was made or a money report that will tell you if any money was collected that day. Another report you can run is the claims report which will tell how many new claims were submitted for a selected time frame & the total amount placed.

A client calls your office and requires an update on a claim they’ve submitted to your office and this particular client is hard to please. So you give them an update regarding the claim they’ve placed with you and they are satisfied for the moment. Blue Claim Tabs - Promised Payments

CasetrackerLaw is a completely web based collection software that gives administration the ability to give their staff access to a multitude of “blue claim tabs” that perform different procedures. There are almost 40 different actions that can be performed by the collector. One of them is “promised pmt”.

In order to schedule regular and irregular payment plans and promised payments within the collection tool, the collector will select the blue tab “promised pmt”. Select the payment plan option you want, fill in the fields and submit. The scheduled payments will be listed on this page and if pre-selected when scheduling the plan, in the collectors “reminders” list as well. When the scheduled payment date comes due, the payment reminder will show up on the collector’s reminders list.

Also, there is a red “access tab”; “debtor promised reminder” located under the dashboard that if selected will display all the claims that have a payment plan scheduled. A collector can work from this page so that any claim that has a promised payment, current or past due, can be called immediately and the claim can be updated.

Promised Report

Money is a hot topic and collecting your money from your customers can sometimes turn into a full time job. Knowing when money will be received is helpful when making financial decisions.

The CasetrackerLaw “Promised Report” will display the claims in the system that has had a “promised pmt” added to the reminders list by the collector. When the claim is opened, there are blue tabs above the claim information box, the collector will select the “promised pmt” tab and set up a payment schedule. This schedule can be set up for just one single payment or it can be set up to schedule a regular or irregular payment plan. A reminder will be added automatically to the collectors reminder list. When this report is selected, you are asked to choose a collector and a time frame and then “generate reports”. The report will display the claims with the criteria displayed for the fields selected when setting up the report. At the bottom of the generated report you will see that a new reminder can be added for the collector or a new collector can be given this reminder.

Create, Store & Generate Your Own Word Documents

All business requires various kinds of documents to perform effectively. Some examples of these documents may include form letters, demand letters, pending approvals, settlements, invoices, etc…

How many times have you wanted to generate a letter or document only to find that the one you want is not available or isn’t worded or laid out correctly for your use? Creating a letter or document that you have the ability to store and use over and over again would eliminate this problem. And being able to access and edit the document would be even greater.

Thank Goodness It's Friday!

Well it's Friday and what a whirlwind of a week we've had here at Casetrackerlaw. First I'd like to thank everyone again for being so patient with us as we've been doing a complete new year update or renovation if you will, to all our clients systems. Things should be back to normal next week but if you should get an error message on any of your pages, an email update regarding details of the error will be sent automatically to our IT department. Within a few minutes the error should be fixed. Come back in 15 minutes to check, if you still get an error message, please feel free to contact me.

We want to especially thank Alfonzo Cole, Jeff Hurley and Maverick Robinson for their contribution to making our system more efficient in moving large blocks of data, FREE! These people deal in large volumns of retail or consumer debt, from the best to the worst.

Baby It's Cold Outside


Whether you're in the north or south, east or west this year, you're cold. Sunny South Florida is where Casetrackerlaw makes it's home and like the song states... "Baby, It's Cold Outside"...for us anyway. The staff and I are thinking about relocating during the winter months, futher south, maybe the Bahamas...Our office mascot, Jezebel, who doesn't have hair because she's a hairless cat, stays warm by the fire most of the day, unless she can find a warm lap to curl up in.

While it's cold outside, Casetrackerlaw's engineers have been busy at work inside where it's warm, working on HOT new updates that will be released later this week. My staff and I are hot at work reviewing and testing the new releases.

Welcome Back To Normal

We would like to welcome everyone back to the work world. We hope you all had a great holiday and are ready to get back to normal.

I walked into the office this morning to a boss that is way past ready to get back to work. He's given my staff and I the time-consuming job of testing Casetrackerlaw. While everyone has been celebrating and spending time with family and friends, our engineers have been hard at work making Casetrackerlaw even better. Tables Settings Preview

No we're not inviting you to dinner or anything like that. We're talking about "table settings" in Casetrackerlaw's "settings" department. Most software has a "settings" department and we've just added a new feature to ours. It's called "Table Settings".

This new feature gives the administrator the option to change the columns that can be seen on all the "claim lists" and "reminder lists" in the system. In Table Settings" the columns can be moved around, removed or added and sorted by ascending or descending order. This feature gives you the freedom to see what you want to see and not what someone else thinks you should be able to see.

Continued: Spelling: A Big Issue


We have found that the most miss-spelled words in the collection industry are Pursue, pursuit, judgment, guaranty & collectible. Let me explain how Casetrackerlaw has come up with a way to get around this problem.


When a collector is working on a claim and needs to update the client with a status regarding this claim, the collector can select a status from a list that relates to the issue and the text for the update is already available. The collector doesn’t have to worry about how things are spelled. They have more important things to do, like collect your money. Let me explain a little more. Let’s say a boss wants you to update an important client regarding a detailed issue pertaining to a claim. The collector can select the correct status update and the text will automatically appear, spelling, punctuation and grammar all taken care of. The client is updated professionally and understands what the collector is saying. There is no need to make a phone call in order to have someone explain the update.

Status By Date Report - What? Who? Why?

Status by Date Report: What, Who, Why?

Status by Date is a report that gives the administrator the ability to view the claims that have had the status changed for a given time frame. Many things can be done by the administrator from this page alone. The administrator has the options of assigning reminders to a collector, changing the reminder and reminder date, generate a demand letter, add notes, change the status and add a comment.

For example: the administrator wants to find out how many claims have had their status changed to “waiting for response from client” for a specific time frame. This is important because a claim is not moving forward if a collector is waiting for a response. The administrator can add a new reminder note and reminder date and select another staff person to call the client for a response. This will help keep your claims moving forward instead of sitting and waiting. A demand letter can be generated and printed for all claims or just a few selected claims from the letter wizard. (I will talk more about the letter wizard later) The status and status comment can also be changed from this page. There is also the option to generate a summary into a PDF hard copy or you can download claim information into a CSV format.

Being able to accomplish many things from one page saves you time… and time is $$. We will be publishing a video on the Status by Date feature soon, so stay with us.
