Reports

It's cold in S. Florida again and S. Floridians are ready for the warm weather they moved here for. Are you living in a state that is seeing it's 6Th major snow storm of the season? Is it a hassle getting to work? What if you could have your employees work from home? If they do work from a remote location, how do you monitor what they're doing?

CasetrackerLaw web based collection software is the answer to this little problem. CasetrackerLaw allows collectors and administrators to log into the system from home and work remotely. Administrators are able to monitor every movement their employees make by selecting the "reports" tab. They have the option to run a "collector report" at the end of the day to see the progress that was made or a "money report" that will tell them if any money was collected. Another report they can run is the "claims report" which will tell them how many claims were submitted for a selected time frame.

Hint: It's important to keep your cookies clean in order to insure that all your reports are correct and up to date. Cookies can cause problems, if you don't know how to keep them clean, click the link and view the video.

Where is my Update?

Updates are a huge part of the debt collection industry. Without updates, the client or creditor would never know what was happening with the company’s money. Are their claims being worked, are calls being made, were letters mailed or has any money been collected or promised? What’s the best way to request and receive updates from your business associates? Maybe you have in-house collectors, each with their own work email and phone line. Waiting for a phone call before you can make an important decision regarding a claim is time wasting and not cost effective.

CasetrackerLaw has resolved this issue. Administrators can set a work email within the system so that all updates or requests are sent to one common email. Once an update is sent, it is received in the “latest updates” section and will also appear in the “notes” section of the claim. The collector can then reply to the update by clicking the “status” tab, type a response and it will be sent via the CasetrackerLaw system. The client will receive the response in his email and within the system. The bottom line is that all communication is done within the CasetrackLaw system.

Word Interface Update

Casetrackerlaw has three letter merge functions, one with Word and the other with Letter Wizard, of which both lets you create letters on the fly and the third is the PDF Merge Dept., about which I will discuss at a later date.


Thanks to the law firm of Cloud and Tidwell of Birmingham, AL, we have added yet another great feature which saves even more time.


When you select your reminders, your list of reminders for the day will appear. At the bottom of the page, you have many options such as changing reminders, changing the status or creating a letter directly from the reminders page. This latest feature also allows you to select a particular claim or claims from your reminder screen and add letters to your Word queue to be stored and printed at a later time.

Need An Attorney?

CasetrackerLaw has added another super feature that clients will love. Do you need the name of an attorney that practices in a particular area of the United States. We came up with a solution to this issue, which really isn't an issue at all. Every CasetrackerLaw system comes equipped with the database to The National List, Forwarders List of Attorneys, Columbia List of Attorneys and The General Bar, four major attorney directories which means you will have access to thousands of attorneys.



A client is able to log into their system, select "Manage Attorneys" and the 4 major directories will be displayed. Select the directory and click, the list of attorney names will then be displayed and you can choose the attorney in the city and state that you need. Also displayed are the phone number and zip code. If you know the name of an attorney and they are a member of an organization, you can type the name in the search feature located at the top of the page and the system will display that attorney's contact information. Once an attorney is selected, you are asked to "add to manage attorneys", and then you are asked to give the selected attorney a username and password which will give them access to the claims you submit to them.



When an attorney is selected and a claim is submitted to them, the claim is bonded automatically through the directory the attorney is affiliated with. It's that simple.

No Reminder Report

CasetrackerLaw is a ‘reminder’ driven system. Let me explain what that means to the administrator, the collector and the creditor.

This statement is so true when it comes to the collection side. Collectors are given their own username and passwords to access their ‘tool’ and when they log in; they will see their scheduled “reminders” with a number next to it. That number represents the number of files they are expected to work that day. A collector may have 75 to 100 files to work on any given day. As collectors work through their “reminders”, the will schedule a call-back date. What happens if a collector forgets to schedule the reminder? How does the collector or the administrator for that matter, know that all of these claims are being called and the creditor is updated when they should be?

CasetrackerLaw is equipped with a report called “No Reminder Report” which the administrator can run in order to obtain the claim ID’s that have no reminder attached to them. This especially helpful if you run a large, busy collection agency or collection law firm and there are multiple people working on a claim at the same time. When the list of files appears, the administrator can then schedule a reminder and attach it to the collector of his or her choice. They can assign reminders directly from this report.

Lost Files?

Another one of casetrackerLaw’s little secret’s is the “Overdue Summary Report” feature.
This little secret is in the reports sections. Over the years I have experienced losing things, maybe early Alzheimer’s.

Anyway we created a feature that will tell you what files or claims have not been worked or looked at for a time period from 0 days up to 2,000 days.

IE: The system stamp dates the file when you open it. You are able to see a time table and all files that have been reviewed or worked will fall in that matrix. If you see a number that falls, let’s say between 60-70 days, all you have to do is click the number of files and all selected files will be displayed and you can instantly open the file and update it.

The system further allows managers to filter the list of clients, IE: view one particular client’s files, so there is never a reason for a file to fall or slip through the cracks and your clients are always updated within the time frame quoted to them.

This little feature is one of the best to determine if a file has stopped or has been overlooked for whatever reason. With CasetrackerLaw’s many little secrets, clients should never have to call for an update on a claim. Credit managers are the most overworked and underpaid so when something works and saves them time and labor, they are happy campers. When you’re client is happy, you’re happy.

Message Board - Another Little Secret

Another little hidden secret about casetrackerLaw is the message board.

The message board is an inside communication tool that is located on the dashboard. We have developed this system so that users are able to send messages to co-workers or clients from anywhere, whether it’s from a home computer, another office down the hall or from your iPhone or Blackberry.

How does it work? Because the Message Board is located on the dashboard it is readily available to click, type your message and send. The recipient will receive the message and will notice a number next to it telling him he has a message or messages. He can respond to the message immediately or at a later time as the message will be there until it is read. You can archive the message and see the string of messages or you can delete the message or messages. The message will not self delete therefore you may retain a message for as long as you wish.

One of the best kept secrets is you are working within the server, not email and if you delete the message prior to the backup each night there is no evidence it ever existed.

Our chief uses this feature to communicate with the office as he travels around; there really is never an escape.

The "To Do List"

I am forever writing down the things that I need to accomplish during the day. I am also loosing the pieces of paper I'm writing these things down on which means that they probably either don't get done or don't get done when they should have. I needed a way to keep track of all the things that I needed to do during the day so that I'm not getting behind.

Solution: CasetrackerLaw has a built in To Do List at the top of the page where I can get to it easily. I have the ability to place it in any location on the dashboard and open it in another window so it's open all the time or minimize it so it's out of the way. Having a To Do List on my computer desk top is so convenient and as you get things done you can either make it pending or delete it.

This feature was inspired by the book "The Seven Habits of Highly Effective People" by Steven Covy. This book has sold over 15 million copies worldwide since published in 1989.

The Right Tool For The Right Job

There are times in business or in every day life where you have had the chance to take advantage of an opportunity only to let it slip away because you weren’t technologically ready. Time is Money!

Our chief’s words are probably not President Obama’s favorite phrase.

You must cut labor to survive in today’s market environment and streamline with technology if permitted.

No matter how good your technology is to run and manage your business you still have the human factor involved and in most cases they don’t care if you survive or fail, just give me a check or freeload on tax payer dollars via all the giveaway programs the government offers today.

IE: In four recent cases of our clients, we found employees working at a 20-30% productivity level. Why? They were pretending to work and when you would bring them more work or ask what’s taking so long, a stupid answer would flow out. Management would say ok, and the question is still “what takes so long to complete a project”? When confronted, the employee will probably throw up their hands and say they’re over worked and note enough time in the day to complete every project given to them. And management usually accepts this answer and projects are continually accomplished later than expected.

Solution: Once employee monitoring software was installed on their systems and you were able to see, in movie form, the pages, clicks, chats, emails, and other projects, they were working on, the reason was simple to see. Linked to the Office

Being a busy business person doesn’t give you much time to keep track of all the things you should and need to do. Tip: Automatic Reminders 6:00 AM

Did you know you can get all your reminders for the day emailed automatically, every morning at 6:00 AM? You have the option to send your reminders to as many email addresses as you wish.

CasetrackerLaw is a reminder driven system that allows one to post reminders on as many screens at once, anywhere in the world. Do you know what this means? Employers and staff do not have to actually speak to one another in order to get projects accomplished. An email reminder can be posted to every “screen” whether it’s an iPhone, Blackberry or computer screen. The reminder is automatically emailed to the addresses you enter into the system. These email addresses can be deleted and new addresses entered with a click of the mouse.

A new option available to our clients is the option to make a payment, automatically apply surcharge or bank fee, change status and delete reminders with only one click of the mouse. Thanks goes out to Mr. Mike Pedersen of CES Check Cashing Stores in New York. CasetrackerLaw developed a check cashing version and this system is becoming awesome under the guidance of Mr. Pedersen, again thanks.

The 1000 Year Rule

Good Morning from sunny South Florida

Something a little different today: One of my favorite comments when I am speaking with people is “Your data will be here for the next 1000 years”: in other words, your data is always kept, not deleted nor archived, and is retrievable years from now. Our goal is to retrieve information within seconds or minutes of being requested.

IE: Claims were forwarded to a law firm in Chicago, IL for suit. The attorney provided updates via the CasetrackerLaw system starting in late 2006 and 2007. The attorney claims suit was filed, money was sent to the attorney, and the updates started to flow but slowly from the attorney. We will call this attorney Mr. W.

All of a sudden the attorney would not return our calls, emails, faxes, etc… After months of no contact, the investigation started. I spoke with my partner, Atty. P and of course he has no knowledge of where Atty. W escaped to with our money.

Long story short, a complaint was filed with ARDC (Attorney Registration and Disciplinary Commission of the Supreme Court of Illinois) and after weeks of communications, they agreed to prosecute the attorney, but needed evidence.

Apply the 1000 year rule: The ARDC wanted to see the email or updates by the attorney which our system stores. Within minutes the full history of the attorneys false updates were printed and off to the court they went.

This is a case where the system protected us and provided evidence to prosecute by having the data at our finger tips.

NOTE: When you forward a claim from our system it is bonded via General Bar, Columbia List, American Lawyers Quarterly, Forwarders List, National List, provided the attorney is a list member for bonding and provides you a report. (We will discuss this feature at a later date)

CasetrackerLaw is always concerned that our system keeps a fingerprint of all transactions and always shaving the bottom line in labor.

Offset Method

A client contacted us last week with a problem so he requested a report which would do the following:

Problem: Creditor wants to place 1000 claims but the Creditor does not want to expense funds from his Company for collections. In other words, YOU put up the money to run profiles, verifications, and mail letters or file suit, etc. Now all this money comes from the creditors funds so how do you get it back?

Solution: Offset Method - Client allows you to deduct any monies spent on expenses for the other claims, in other words you can deduct any monies spent from money received. The problem was how do we account for this expense and develop a labor shaving method. (See the 3 Screenshots) Collections _ Expense Statement Collections _ Expense Statement 2

By now I can tell you, law firms and agencies have more ways to do the math than I ever knew. They are all different and some like to take the information in a specific order: interest, principle, costs and fees – any combination of these. Our system lets you have it your way. We default all systems to IPC, but you have the ability to override this on any claim or claims. IE: IPC, FCIP, CFIP, CIP, IP (see Claim Info Tab in the Casetrackerlaw system)

CasetrackerLaw also provides other types of offset reports which we will discuss at a later time.

Shaving The Bottom Line

Well it’s been an interesting week of interfaces. We would like to introduce and thank the firm of PCI Group, Inc. located in Fort Mill, S. Carolina and President Chris Kropac, for all the IT support and communications within our office. Visit their website to see exactly what they do and FYI: I spoke with other mail merge companies and I find most mailers are competively priced but a little behind with technology.

What I found most interesting with most mailers was this:

Question: How do I get the information back so I have a record or copy of what was mailed?
Answer: We’ll send you a disk at the end of the month.

Problem: Now I have a disk with thousands of letters and pray I never need to reproduce a specific letter and when I sent that letter to the debtor.
Solution: We have developed an interface that will send 1000’s of letters with a click of the mouse to the mailer and while you are having a coffee break or sleeping, the documents will magically move back into your system and attach themselves to the appropriate claim and trigger a reminder when the next action is required.

If you do the math, one person can‘t print, fold, stuff, lick and stamp plus the cost of paper for under 55 cents per letter. I have estimated the cost to be more in line with .75 - .99 per letter, if you have staff complete the work.

We ran a test of how long it takes to upload 1,000 claims into our system, click to sort the category and click to send to the mailer. Total time is less than 5 minutes. Just compare!!!

Tri-Level Trust Accounting

CasetrackerLaw has a very extensive trust accounting system. The system complies with the tough standard in Massachusetts and a few other states (not certain of the names) referred to as tri-level accounting. Now… just what does that mean? Our systems keep track of all monies, expenses, etc… per claim, next the system keeps track for all the monies for the creditor or client, next all the monies for the firm or system. You have the ability to interface with quick books, upload or download. Remember we can interface and move data quickly. If you need to move data from point A to point B at the speed of light, just call us.

Keeping proper accounting for a client is very simple. You now have the option for the creditor to view the accounting or commonly referred to as the cost ledger. We have given you the (host) the option to choose what your creditor/client can view. (a hot new feature)

Week Of Interfaces

Well this week we have been very busy developing interfaces as we talked about yesterday. When someone discusses interfaces, sometimes people look at you as if to ask, “like where are you from?”

Interfaces are becoming one of the hot discussions of today. If you are working in the debt world it provides you a way of creating a report and then downloading to an Excel – CSV spreadsheet for distribution.

A new feature we added to the “Advanced Status Report” is the ability to select claims by any status, create the report, download to a CSV spreadsheet and instantly dump this data into your dialer or send it out for letter processing and much more. We are able to map the fields automatically as well, reducing to a click of the mouse.

The “Advanced Status Report” was designed for several public companies to create reports for “Sarbanes–Oxley Act” reporting. Note: This report is available to Administration and Creditors if one gives access.

Interfaces

In today’s environment a company must be competitive to survive. As we have stated previously the right technology can make the difference of survival or consequences.

IE: One of our up and coming law firms is E-Attorneys (908-354-2400) located in NJ. They have just implemented an interface with their client, a well known bank. In order to reduce labor the claims are sent on a CSV spreadsheet and with a single click of the mouse the claims are uploaded without mapping. We do all this automatically and at the same time validate certain fields such as phone, social and validate an address. We then automatically send an email to all parties with the validation report.

All this happens in seconds. The old way was to use humans to validate the information. Second step is to send the claims to the letter writing service and all 1,000 letters are mailed within 24 hours for a fraction of cost, no more hard labor. Debt never stops moving.

As we continue to develop these great ideas and imaginations our clients come up with, we will keep you posted.

Auto Phone Dialers

There are times when you need to make phone calls automatically with limited labor. i.e. we had a client who wanted to download certain fields from a spreadsheet and dump the selected fields into several of the phone dialers on the market today such as Global Connect and others. CasetrackerLaw can create a report of the selected fields, download to a CSV file and you have a file ready to upload to your favorite phone dialer.

The dialers today have improved a lot. For example, all you need is an ear plug in your ear and you will hear a voice say “Mr. Smith is on the line, acct number etc…” and you can be ready to discuss with the debtor his claim in seconds. Auto-dialers are an inexpensive way to contact people when you have a ton of numbers to call.

CasetrackerLaw is developing technology to work with Skype and hope to release it in a few weeks. Our system is already Skype friendly and is really an inexpensive way to make calls directly from your computer much like magic jack which we are testing this week in our office.
