Digitally Attaching Documents

There are times when while at work, you will need certain documents in order to finish what you have started working on and you don't have them. They are in another office in another state or across the world. What to do...

What about being able to call that office or better yet, email that office all the way around the world and ask them to digitally send them to you and it would literally appear and it would only take approximately 3 seconds. Is that possible? I say yes it is possible...

Possible with Casetrackerlaw, web based collection software. Working in a law office or recovery service requires that you attain certain documents to back up claims that are made. With Casetrackerlaw, anyone with access to the system can digitally attach invoices, affidavits, statements...you name it, it can be attached.

Once the document is attached, it can be opened from with in the Casetrackerlaw software system. Sharing documents is so important and the fact that they are attached digitally to the claim means that documents are impossible to lose. Attach one document or many.

Visit www.casetrackerlaw.com to find out more about digitally attaching documents.

Florida Hurricanes And CTLaw

During the months of June through September, the state of Florida is on high alert for hurricanes. Either Florida is storm free or there are storms all lined up and ready to knock on our doors every other week. Shutters go up and shutters come down. Business's suffer all over the state depending upon where you are when a hurricane happens to hit. Some buildings are completely destroyed and some are just badly damaged. When this happens, people don't go to work because there's no work place.

Because my office uses Casetrackerlaw, 100% web based collection software, we can work remotely and not lose time at work just because of a little storm outside. The only reason we couldn't work from home after the storm, is if we lose our electricity and if we do lose our electric and the roads are clear enough to drive, our office has a backup generator and our office is up and running. Just because Florida is down, doesn't mean the rest of the world is.

In closing, during the last major hurricane, which was "Wilma". She ran right over us! We had no electricity for 16 days, however, we never lost a day of work.

Gotta Fax

Sending documents from one office to another office in a large building used to be a time consuming chore. Sending the same document to an office across town or to another state or even out of the country is even more of a time waster. Today, there are a few ways to send documents fast but what about fast and easy and with very little cost?

My office uses MyFax.com in order to send documents to our customers and clients. It's fast and easy to get started.

While I am logged into Casetrackerlaw and I need to fax something to someone and it needs to get there yesterday, all I have to do is click on the fax number in the system to the person I want to fax. A link will open up and you can add the fax number and the name of the person you are faxing, click send...and off it goes, 1 2 3. And a really cool feature about MyFax is that you can check on your fax to see if it was received. It will keep a report of the faxes you send and the ones that are successful and the ones that failed and why.

MyFax.com is a really cost effective way to send many fax documents in the course of a day.

Credit Managers

Credit Managers - the most worked and under paid employees in the business world. Credit Managers have the thrilling job of giving companies credit for products they sell. But that's not all, credit managers will also come across the individual that just will not pay for what they have purchased and then the battle begins.

Collecting money is one of the most difficult, frustrating jobs the credit manager has to perform on any given business day. A tool designed with the credit manager in mind has been created in the form of Casetrackerlaw, a completely 100% web based collection software.

Casetrackerlaw allows a credit manager to view and track claims that have been submitted through the system to a collection agency or law firm. The agency or law firm will receive an email letting them know there is a claim to either be accepted or rejected. When the firm, whether it's a debt recovery firm or a law firm, receives the email, they will be instructed as to how to accept or reject the claim and the credit manager that submitted the claim will be updated automatically through Casetrackerlaw that the claim has been accepted or rejected.

If accepted, the credit manager and the recovery firm are in constant contact and are able to communicate through the email system that is integrated into the system. How convenient is that? Not only that but any documents that go along with the claim can be attached to the claim in the system which means that anyone with access to the system is able to open the document, and print out copies.

The bottom line is, debt can be recovered faster and with less expense.

Casetrackerlaw Gets A Face Lift

As you know, a face lift is a medical procedure a person will go through in order to look younger, better, brighter...and when this procedure is being performed, the person getting the face lift is out of order for a while and so are the people around them. Well, our 'office' is getting a face lift.

A face lift is not really the right word. More like total reconstruction. They 'the bosses' decided that 'our office' was in need of some new flooring, paint, possibly some new office furniture and decor. They thought it would be a good idea since it hadn't been done in years (don't know how many years) but it must have been a long time, there was alot of dust. They pulled baseboards off the walls...painted them, ready to put back, layed down the biggest square marble tiles I've ever seen and painted all the walls. (the bathroom too) They (the workmen, 5 all together) were at 'the office' by 9:00 am every morning.

It all started one a week ago. Normally 'our office' is pretty quiet, just normal office phone chatter, occasional phones ringing, occasional copiers copying..you know the sound. For the past week and a half I have come to work not knowing where I will be working from that day or where my desk would be. I have had to work from a couple of different locations so far, it's hard to get any substantial work done during this reconstruction phase. I'll be talking on the phone and all of a sudden there will be the sound of a power tool like, literally right behind my chair or there will be the sound of someone pounding on something and then there would be total silence for a while. Oh let me tell you about the dust. Every morning I come in and have to dust off my phone, my chair, my pen...just kidding. I think it will be great when it's finished, almost like a brand new place to come to work every day. Now they need to upgrade the outside, maybe put in a small pool for the 'office staff', but until then........we'll try to survive.

Creditors & Debtors

Since the beginning of time there has been a need for someone to collect money owed to someone else. It's not an especially fun job, however it is interesting to hear about all the reasons someone is unable to pay a bill. Credit managers are the first plan of attach against people who can't or won't pay a bill. At one time, in order to collect money, it involved alot of paperwork and files to keep and go through. At one time is history, debtors went to prison.

A debtors' prison is a prison for those who are unable to pay a debt. Prior to the mid 19th century debtors' prisons were a common way to deal with unpaid debt and they were not a nice place.

Collecting money is a tedious and frustrating job but someone has to do it and since it has to be done, there needs to be a way to do it that will make the job much more bearable.

Casetrackerlaw is the solution to the problem. The web based collection software that makes collecting money much easier. Creditors using Casetrackerlaw are able to collect information whether it's email conversations, notes of phone conversations, invoices, letters and legal documents of all kinds. A Creditor will submit a claim into Casetrackerlaw and as the claim is worked, it begins to fill with pertinent information regarding the debt, the debtor and the history behind the debt. If the creditor is unable to collect the debt, he or she is able to forward the claim to an attorney of his or her choice. An attorney's contact information is added to the Casetrackerlaw tool and when the creditor selects an attorney, he will receive an email alerting him to the fact that he has a claim to either accept or reject. If he accepts it, he will do so via email and will update the creditor every step of the way, from beginning to end. This information is yours to view anywhere, anyplace, anytime.

A Tour of Casetrackerlaw (the inside story)

If you have been reading this blog, you will know that Casetrackerlaw is a collection software. Not just any collection software but a 100% web based collection software. If you can imagine it, we can create it.

We offer anyone interested in the technology behind Casetrackerlaw a brief online tour. You don't have to go anywhere and no one is showing up in your office carrying a bunch of different software packages. We will give you a call at a scheduled preset time and take you into the system with a user name and password. (only you can access the system unless you give someone else authorization...you would create them as a user with their own user name and password) The basic tour takes approximately 15 minutes however, once you're in there, seeing all the amazing things Casetrackerlaw can do, you start to become intrigued by all the little features that it offers. All the 'user friendly' pages full of little things that make collecting so much easier. Easier is not the right word...efficient - economical - and even fun could be used to describe Casetrackerlaw.

The pages that fill Casetrackerlaw are so easy to understand, you could almost figure it out without help...but if you do need help, it's only a click away in our 'video library', found conveniently at the top of every page. Everything about Casetrackerlaw is convenient. From the 'main page', where you can see, at a glance what you have to do that day, to viewing or creating a report of any activity done for any chosen time frame. Casetrackerlaw will keep track of everything for you, all you have to do is add the information.

Touring Casetrackerlaw will be such a pleasure, you will want to tell others because you will be so excited about what you just saw. So, please do, tell others.

The Orchid - Part Two

A small amount of time has passed since the orchid incident and I thought I'd catch you up. It has been replaced. When I say 'it' I mean the orchid. It's not as pretty as the first one but it will do. (the boss was happy with it) They called the store they got it from and told them what had happened and was told to bring the plant into the store for a replacement. When the vase was examined closely, they found that there was a crack in one of the legs and the plastic liner inside the vase was ripped. The store was upset and suggested they send someone over to take pictures of the damaged piece of furniture leading my boss to believe they would help take care of the cost to have it fixed.

So a couple of ladies came out to the office and took the pictures they said they would and left. In the meantime, a few different people came out to give my boss an estimate of what it would cost and what it would take to fix the shiny old side table. We hadn't heard back from the flower shop so my boss gave them a call. The manager/owner stated he would not help pay for the damage caused by the defective vase and lining. My boss was livid, couldn't believe it. The owner told him it was 'ridiculous' to put a plant on a piece of 'fine' furniture and it was ultimately his own fault. What was he talking about? not put plants on the top of tables? What planet was he from? My mother put plants all over the house when I was growing up. She did however make sure that the table was protected by a sturdy 'vase' so that the table didn't accidentally get wet and get ruined. duh!

I'll keep you posted on what happens next, the table has been taken to get fixed. We'll see how it gets paid for.

The Orchid

Have you ever had a responsibility that you took so seriously and made sure that what ever it was that you needed to do, was done as perfectly as possible? I have. Many times.

This is where my saga begins. There are many plants in my office. Many different kinds of plants, inside and outside, decorating the walkways and the offices. They are quite beautiful and really make any office more enjoyable. They, of course, need to be taken care of weekly, if not daily some of them. They are taken care of meticulously by my boss mostly, he loves the plants. And when I say love, I mean he would die if anyone hurt one of his precious plants.

The boss's go away occasionally and they will leave the care of the office and all of those precious plants to me. No problem, I love plants too. Not as much as the boss though. Anyway, off they went and I'm looking after the place. Did I forget to mention there was a brand new addition to the inside office? No? Well, an Orchid. A big beautiful purple orchid, in a pretty vase that was peacefully sitting on the end of a very old side table. That long table was beautiful too, made of solid mahogany, painted black and so shiny. It reminded me of a black baby grand piano.

Well, on about the 5th or 6th day of taking care of things, I noticed that the orchids flower was falling off and the leaves didn't look very good. I decided it needed some water. I forgot to water it that day so the next day I made sure that I remembered to water it. I know nothing about orchids. I gave it about a cup of water that I drizzled into the vase. All I know about orchids is they grow in moss, not dirt. So I did my good deed for the day, or so I thought. I went home, it was a Friday, for the weekend. The boss's would be back on Saturday and the first place they go is the office.

I'm driving home from the grocery store on Saturday evening and my cell phone rings. It's my boss. "hey, you back yet?'' I ask. All he says is, " did you water my orchid?" I say "yes" thinking I had done a good thing. He says to me " you killed my orchid and ruined our beautiful old shiny long table" Gulp..what? How? When? OMG! "I am so sorry" doesn't even begin to cover it. What could I say? He was very upset, but he didn't fire me. yay

Our Sales Department

A sales department is the backbone of any company. If there were no sales department, it would be difficult for companies to make any profits. Companies rely on the sales department and the more efficient the sales department, the more likely for higher sales.

Casetrackerlaw has a sales department or module that is so thoroughly efficient that it is virtually impossible to loose a prospect. It is so full of fields for recording information that you collect from the contact person every time you talk to them. Not only that, due to the cost of gas these days, sales personnel can work remotely and administrators are able to monitor their activity. Prospects can be transferred from one person to another within the sales tool by selecting from a list in a drop-down menu. Casetrackerlaw will also keep track of the number of prospects you have and will let you know who you need to call on any particular day and the note section is great. A sales rep is able to take detailed notes and keep them forever in a history section, which makes it convenient for referring back to them at a later date. Another very cool feature is the ability to attach documents to the prospects page by uploading them from your computer desktop or documents and email them to the prospect right from the prospect page. I'll talk about that in more detail at a later date.

Casetrackerlaw is the ultimate in a web-based sales tool... from keeping complete track of all your prospects, new and old, to working remotely from home, the coffee shop or even while you're on a business trip or vacation. Your prospects are only an Internet click away.

The Ultimate Compliment

One of my jobs during the day is to answer the phone. Occasionally there will be a call from someone that's interested in Casetrackerlaw, our web based collection software. Usually an attorney.

Casetrackerlaw is the most cutting edge in collection software on the market today. Not only is our collection software 100% web based and totally user friendly, it's completely customizable. Casetrackerlaw was created specially for collection law firms and we understand that every firm is different. Every person wants there software to do ever thing but they don't want to pay for features that they may never need. (and if a feature is deleted, we can always put it back later)

But I'm getting off of my subject. The whole reason for me to be blogging right now. The Ultimate Compliment any business could get. I was at work one late Friday afternoon, right before going home. Everyone else had already gone for the day and the phone rang. As I answered, all I could think was that I really didn't want to answer and deal with one more person that week, I just wanted to finish up and go home for the weekend...

"Good afternoon, this is Becky" "Hi, is this Casetrackerlaw?" Needless to say it was someone looking for information on our web based collection software. The phone had become worth answering. He asked me a few questions regarding what Casetrackerlaw could do and we talked for a bit. He had seen our software in a colleagues office and again online. When he asked me the price, I quoted our standard price of $10,000 and $500 per month maintenance. There was a slight silence and then he asked the most surprising question, "I've really checked this software out, why are you asking for so little for such a great software?"

I couldn't believe he asked me that. I usually hear quite the opposite. What a compliment, this guy has over 30 years in the collection business and has used a lot of softwares in that time. Anyway, what could I say, I didn't really know what to say. So I offered to schedule an online tour. He declined at the time however, he did call back the following Monday and wanted to take that tour. I'll let you know how that tour goes.

The Ultimate Compliment for any business.

The 'Office'

It's 7:00am and the GM is already in the office and on the phone, walking and talking. He does most of his phone work while he's walking around the office, observing "everything". His office door is always open so that he can hear work being done. You know the sound, phones ringing and being answered, computer keyboards clicking away and phones being dialed. Sometimes you will hear the rustle of paper or the mechanical grind of a printer , scanner or copier.

Now it's 8:00 am and the people/staff are starting to show up for the days 8 hours. As they go their separate ways to do the various things they do that keep the 'office' running, you can almost hear their thoughts, "I wonder what today will be like?" Who will I have to deal with today and how will I deal with it?

I come in at 8:30 am and go directly to my desk and try to get it ready for the day. Sometimes there might be an IT guy sitting there using my computer. (I hate it when someone uses my computer. It's like when someone drives your car, it just doesn't feel right for a while) I sit down at my desk and start the day by opening up the calendar. It will tell me what the agenda is for the day and who needs to be where and when. Then I open up the other four windows that I use to run my day.

The lady who sits behind me during the day comes in at 9:00 am and the 'office' is already getting warmed up. As everyone else comes in for the day, saying cheerful "good mornings" to people as they pass, you can always tell when they would rather be somewhere else. Donna brings with her the 'office' pets. A small white dog and a hairless cat. They add a lot of atmosphere to the 'office'. They visit with everyone in the 'office' and everyone in the 'office' loves to have them in the room because you never know what they will be doing, especially the cat.

'Office life is what you make of it. Sure there are times that you don't want to be there anymore than the next person but you have to earn a living so you might as well have a good time while you're earning it. My 'office' is a great place to spend my 8 hours a day.

Roxy And Jezabel

Working in an office can be a lot of fun. I have fun in my office. There are 5 of us plus 1 small dog and one cat. There are 3 separate offices, a conference room and a kitchen. It's more like a home away from home.

Roxy, an adorable white Bichon, is the cutest thing you've ever seen. She sleeps on the sofa in the office I share with Donna, she is the office administrator and Roxy's mommy. Roxy likes to lay along the back of the sofa, on her back with her legs in the air while we work. She dreams a lot so she will make little yipping sounds or little tiny woofs and her legs will be moving as if she were chasing something or someone. She's a great little dog. She likes to lay in my lap when Donna has to leave the office for any reason and jumps right out as soon as she hears the door open and she knows mommy is back. Every few weeks she will go to the dog groomers and get all pretty. I call her Roxy Clean when she's all coiffed, fluffy and white.

Jezebel is a hairless cat. A sphynx. When I first saw her I didn't think she was all that adorable or cuddly but the more I got to know her, the more I warmed up to her. She's not like other cats. I know, I have 2 furry kitty's of my own. There's Dash, he's 3 years old and then there's Bella, she's almost 2. But that's another story. Jezebel is quite a character. At 4:00 pm exactly, she will come and sit in the middle of Donna's desk or walk back and forth in front of her computer monitor and meow loudly to be fed. The rest of the time she is laying in the sun or under her blanket staying warm. Jezebel actually does have fur but it's more like fine suede with wrinkles. In the summer she has to have sunscreen put on her head and ears so she doesn't get too much sun because Sphinx's are susceptible to skin cancer.

Roxy and Jezebel are both 4 and grew up together. They come to work together every day with Donna. Jezebel comes in riding in a stroller for pets and Roxy runs in on her own, all happy to see everyone, bouncing around and saying hello. There are toys for them to play with, balls and assorted stuffed animals that squeak and rattle. Roxy will bark and sound very ferocious when a stranger comes into the office but will make up with them right away. Jezebel is a great conversation piece and we show her off to everyone.

I have worked in offices where there were no animals, no plants, no pictures allowed on desk tops, it was depressing. Now I work in an office where there are animals, plants and there are pictures every where. I love my office and all of the animals in it.

The Collectors Side of The Story

I am a debt collector. Those words have been feared since the beginning of 'financial' time. Collecting money from people, for what ever reason, is an interesting job. It's not one I chose, it's one I fell into by accident. I began working as a telemarketer, calling business's and talking to credit managers about their collections and how my company could help them get their money.

Collecting money from business people is not always easy. There are a lot of people out there that owe other people money and all of these people and their individual debt information must be kept and kept in order.

Casetrackerlaw is the way I keep my accounts in order. Casetrackerlaw is a 100% web based collection software that I use every day. There are features about this software that I use that if they weren't there, my job would be harder to do and a lot of the every day things would take much longer to accomplish. I am able to receive a claim, attach documents such as invoices, call, fax or email the debtor from the system and then update my client within a matter of seconds. There are no paper files in my office, every document that pertains to the particular claim is attached and can be viewed by anyone given access to Casetrackerlaw such as the collector, client, attorney or the forwarder.

I love my Casetrackerlaw. I don't know how this job was done efficiently before.

IT (Information Technology) Our CTO(Cheif Technology Officer)

IT is a vital artery in the web of artery's and capillaries that make up a well functioning and productive office. Whether it's a law firm or a debt recovery firm. (ie: collection agency) They need updated technology and they need it yesterday. But not only do they need this technology, they need well educated and experienced technicians to create this technology and technicians to maintain, upgrade and ultimately customize it to suit the needs of who-ever uses it.

That's where Mr. Sandeep Seshadri-CTO (cheif technology officer) comes into play. Mr. Seshadri is 28 years old...but don't let that fool you, he's a lot smarter than he looks. Mr. Seshadri came from India to study at New Mexico State University. He has been in the United States for 7 years and plans to stay and start a family some day. Mr. Seshadri met Mr. Steed at the college and was hired as his engineer.

Sandeep works right in our office with us every day, which is super convenient when a computer has a problem. (usually user error) He is able to diagnose the problem and fix it with in a matter of minutes, sometimes seconds. I know there are times in a busy offices day when the computers 'go down' and it seems like the whole world has come to a stop because a few machines have stopped working for whoever knows why. It makes us all understand how important our IT guys and gals are to us in a busy day.

The History of CasetrackerLaw

Mr. Steed admits his collection software company has been under the radar since it's founding in 2002. But that's how Steed prefers it. He's been too busy focusing on perfecting the web-based collection system he created while running Money Management LLC.

"We were never able to keep a creditor successfully updated on the status of it's accounts." he said.

Though he filed for a patent for a system in 2003 (which is still pending), CasetrackerLaw was not released for sale until September 2004.

CasetrackerLaw is a complete collection system, offering a variety of features specifically helpful to attorneys, but also valuable to collection agencies and debt buyers. It enables users to forward claims to attorneys with just a click of the mouse and gives creditors the ability to submit claims via Excel or any electronic data interchange (EDI) format.

CasetrackerLaw provides a number of reports, tracking such things as claim status and promised payments. The system also monitors claim history, displaying changes that occur throughout accounts life cycles and allows users to organize and prioritize the most profitable claims to be worked first.

The system is scalable to any size company, but caters primarily to firms with 1 to 20 collectors.

Mr. Steed has also created networks for attorneys, creditors and collection agencies. Currently, he is working to build a network to tap into the expertise of numerous minority-owned law firms nationwide.

CasetrackerLaw plans to release a version of it's software that will be tailored to particular areas of law, including General litigation, Real Estate, Foreclosures and Liens.

My first blog

Writing a blog will be a new experience for me. I hopefully will be able to write knowledgeably about the topics I will be given. I've only written in my journal at home. Writing something that people will want to read will be a challenge. Not that my journal is boring.

I will be writing a great deal about Casetrackerlaw, a 100% web based collection software, the technology behind it all and the people who use it day to day in the business world. You would be surprised at how many people in the business world use collection software just to function efficiently and to keep up with the rest of the world that is quickly going paperless. I will be talking to and about those people later on.

Thanks for reading.
